VCAT - NECAP 2011 Spring Data Import Instructions

Download student level data files from Measured Progress
• Go to http://iservices.measuredprogress.org
• Select New England Common Assessment Program-NECAP in the popup
menu.
• Press the Enter button.
• Click on NECAP Reporting.
• Click on Vermont.
• Enter your User Name and Password. This must be a district level
password.
• Click on Reports link.
• Select Year: 2010-2011.
• Select Administration: NECAP Spring 2011 - Science
• Select School: District-Level
• Select Grade: Grade 04.
• Check Student-Level Data File.
• Press the Download button and save the file on your computer.
• Repeat the previous three steps for grades 8 and 11.
• Click Log Off on top right of page.

VCAT Data Import
(The name of each step is on the upper left of each VCAT page)

Student/Import/Select
• Click Import NECAP Student-Level Data

Import/Student/NECAP CSV File/Select
• Leave Data Year on May 2011.
• Select a Data File. For example:
NECAP1011SpringDistrictSlice04_SU000.csv
• Press Continue Button.

Import/Student/Student Search
• Select Show links if you want to see the data that will be imported.
• Press Continue button.

Import/Student/Student Search
• Press Continue button.

Import/Student/Curriculum Search
• Press Continue button.
• Note: It may take a significant amount of time for the next page to
load. Please do not press the Continue button again.

Import/Student/Assessment Search
• Press Continue button.

Import/Student/Requested Curriculum Units
• It should say: All of the requested curriculum was found.
• If not, stop and email support@vcat.us.
• Press Continue button.

Import/Student/New Students
• If no new students were found, press the Continue button and go to
the next step.
• Otherwise, copy the student information on the page and paste it into a
text document.
• Exit the importer and go to Student/Edit by clicking on the Edit link
under the Student tab.
• Search for the students by name (first or last not both) using the
search field.
• If student is not found, try entering part of the name to look for possible
misspellings.
• If student is still not found, click on Add under the Student tab and add
the student.
• If student is found, enter the State ID from the text you copied above.
• Remember that VCAT is looking for students by the State ID in the
input file. It must match exactly.

Import/Student/Changes to Existing Students
• If no changes were found, press the Continue button and go to the next
step.
• Otherwise, review the changes to make sure that the student being
changed is the same person.
• If there are name changes that are incorrect, make a note and change
them back in Student/Edit after the import.
• Press Save Changes button.

Import/Student/Select Demographic Set
• FIRST TIME ONLY: Press Create button to create a new Demographic
Set called NECAP 2011 Spring.
• EVERY OTHER TIME: Select NECAP 2011 Spring from the popup menu
on the left and press Select button.

Import/Student/Check for Demographics
• Press Add Demographics button.

Import/Student/Existing Student Demographics
• First time: Press Continue button.
• Every other time: Press Leave Existing Demographics button.
Import/Student/Check for Demographics
• Press Add Demographics or Continue button.

Import/Student/New Assessments
• Press Add Assessment button

Import/Student/Changes to Existing Assessments
• Press Continue button.

Import/Student/Save to Database
• Press Save Changes button.

Repeat all steps with the next data file.
